PAYMENTS, SHIPPING, RETURNS, TAXES AND OTHER STUFF YOU NEED TO KNOW
Fragrance Laboratory offers secure online shopping 24 hours a day, 7 days a week and 12 months out of the year; in other words – we are always open for your shopping convenience. We accept all major credit cards through PayPal.
We also accept check and money orders. We cannot make any changes to an order once it is finalized. Please check your order carefully before you submit/place it.
Because Fragrance Laboratory offers Pre-Buys and Group-Buys we also offer a “hold and ship when in” option to our customers. If you choose to order both an In-Stock item and a Pre-Buy or Group-Buy item, your entire order will be held until all items arrive in our store, unless other arrangements are made at the time of ordering. Please make a notation in the comments section when placing your order. If you choose to ship separately, separate shipping costs will apply to each order.

Please note if you choose to ship separate in-stock and pre-buy or group-buy, shipping charges for each shipment will be applied at the time of shipping.
Fragrance Laboratory will email you if we have any problems processing your order. Please be sure to add email@example.com to your address book. If we aren't able to reach you within 14 days, we may need to cancel your order and charge you a 10% restocking fee. Please make sure to add us to your address book as we are not responsible for technical glitches or Spam filters on your computer or anywhere outside of our control.
Payments made though PayPal may occasionally take a few days to clear. Orders cannot be shipped until PayPal confirms that your payment has cleared. Orders of $150.00 or more paid for via PayPal must be shipped to an address that you have setup through PayPal as being a CONFIRMED PayPal address.
Please note that confirming your address is separate from verifying your account. You are able to confirm your address by logging into your PayPal account, going into the Profile Summary area, selecting Street Address, and then by clicking on the Confirm button on the bottom of the page. PayPal's confirmation procedures may change, so if you have questions, please contact PayPal.
APO and Overseas Orders
If you are outside of the United States – PLEASE DO NOT PRE-PAY - for your order. Special attention must be given to any orders being shipped outside of the USA. Customs declarations, prohibited items, and Flash Point restrictions all require added documentation and special shipping, often requiring a third party involvement like a customs clearing house. If you would like to place an order with us please contact us prior to placing any order at firstname.lastname@example.org
All shipping fees are calculated based on the weight of the merchandise. Carriers set their minimum shipping weight at 2 lbs. When ordering on-line, the shipping amount shown during checkout is the estimated charge generated by their on-line system. In most all cases, this is the shipping fee that you will incur. However, in some rare cases, shipping charges may be higher than the on-line estimate. If we discover that additional fees or a refund/credit is applicable we will notify you prior to sending the shipping notification.
Occasionally a shipper’s site may be down or unavailable during your checkout process and our shopping cart will be unable to retrieve or display the estimated shipping charges for your order. In these instances, your on-line shopping cart may display a shipping fee of $0.00. Thank you for understanding that these rare instances are beyond our control and that we must reserve the right to add the appropriate shipping charge to your order once the shippers systems are back up. We welcome you to contact us at the number below or at email@example.com to confirm the shipping fee for your order.
We cannot be held responsible for any theft or damage that occurs if a shipper delivers your package when you are not home. If the shipper requires that packages be signed for in your area, please ensure that you are available to sign for your package. Customers are responsible for reimbursing us for any shipping and handling charges that are incurred if a package is returned because no one was available to accept it. If you may not be available to accept your delivery, we recommend that you use a shipping address where someone will be available to receive the package for you. We encourage you to contact your shipper directly to find out what their delivery policies are for your area.
Due to shipping regulations on Flash Points under 200 degrees F we are limited to shipping most fragrance oils via ground shipment. We will not break the rules and regulations regarding this subject, Safety First! As per the regulations some mailing services, air shipments and priority service, may not be available if your order contains flash points under a certain degree. Please reference our FAQ page for specifics on flash points and shipping requirements.
Our primary shipper is FedEx Ground, however, we can also ship UPS if that is your preference. Please note that if your mailing/shipping address is to a Post Office Box we will only be able to ship via the USPS unless you provide us with an accurate street address. Fragrance Laboratory understands that shipping adds additional cost to your order. Most carriers charge an additional fee to ship to residential addresses. You can reduce the cost of your shipping fees if you provide us with a business shipping address. In addition, if you prefer to have your package sent to your local FedEx office and held for pick up, please notify us at the time you place your order. We offer live shipping rates on our shopping cart so you can best choose your shipping options. Remember some products are not available for air service.
You can protect your packages against loss or damage during shipping with insurance from your chosen carrier. FedEx and UPS both cover their packages for loss up to $100.00 per parcel. USPS provides insurance coverage up to $50.00 on all Priority shipping but if other USPS services are used there is an additional cost for insurance based on carrier rates.
Fragrance Laboratory will accept no responsibility for parcels once it is in the carrier's possession. If the customer chooses a particular carrier and the order amount is over the automatic insurance limits, it will be the customers’ responsibility to notify Fragrance Laboratory that they wish to purchase additional insurance in the comment section when placing the order. Fragrance Laboratory will contact the client with the additional amount which will be a separate charge.
Once the additional insurance has been purchased, your order will then be processed. Should damage or loss occur, Fragrance Laboratory will make reasonable effort to assist the customer with providing documentation that may aid in recovering the loss, but it is the receiver’s sole responsibility to pursue action with the appropriate shipping carrier.
We strive to get our products to you as fast as possible. We make every attempt to process all orders within 72 hours of receipt and payment. Our shipping department is open six days a week, however, unanticipated demand can deplete our inventory. Items may be out-of-stock or discontinued without notice. We will notify you if this is the case, please make sure to include a valid phone number and/or valid email address when registering your account. Please keep in mind if Pre-Buy materials are included in your order you will be given the option of holding your order until the pre-buy items arrive or to ship in-stock items as soon as possible. If you decided to ship in stock items separate of Pre-Buy or Group-Buy items additional shipping will apply.
Fragrance Laboratory want you to be happy with all your purchases so please ask any questions prior to placing your order to insure your satisfaction. We are not able to accept returns on ingredients (unless we shipped the wrong item to you) because we cannot guarantee the purity of our merchandise or resell it once it has left our warehouse. If you need to make a return, please contact us to receive an authorization. We are not able to offer a refund or exchange on unauthorized returns, and merchandise returned without authorization will be discarded. We cannot accept returns on clearance or closeout items. In some cases store credit or exchange will be accepted for non-hygienic type products (soap dishes, containers, packaging, etc.) that is in original condition and accompanied with a sales receipt for up to two weeks or 14 days after receipt of goods, prior authorization is required. DAMAGES AND SHORTAGES
In the unlikely event that your package has been damaged in shipment or your product is short, please notify us as soon as possible. DO NOT discard the damaged packaging or merchandise as many carriers will need to inspect the box and contents prior to paying a claim. Please contact us if your order arrives incomplete, damaged or you have received an incorrect product.
INCORRECT ADDRESSES, NON-DELIVERABLE, or REFUSED SHIPMENTS
Please double check and make certain that the shipping address you provide to Fragrance Laboratory is correct. If you have a lot, apartment, or suite number please make sure to include it on your mailing address. If a customer makes an address error, the customer is responsible for additional delivery charges. If we make an error, then we will absorb the additional fees. FedEx and UPS will charge $10.00 for even the smallest address corrections. We will in turn pass this charge to you. Packages returned to us marked, ‘Invalid Address’, ‘Refused’, or ‘Unclaimed’ will be credited back to the customer’s credit card, less a 15% restocking fee, and all shipping costs. All carriers require a valid phone number to complete your shipping order, please make sure to include a phone number with all orders.
Hotmail, RoadRunner, Gmail and America Online (AOL) Users:
Some email service providers including Hotmail, RoadRunner and AOL, have strict methods in place to prevent potentially unwanted emails from being delivered to the mailboxes of its subscribers. Unfortunately, their default filter settings can prevent their subscribers from receiving important emails regarding their online purchases. Fragrance Laboratory is not responsible for order delays caused by your email filters preventing our emails from reaching you. We encourage you to please adjust your spam filter settings so that you can receive emails from Fragrance Laboratory email addresses.
Requests for order cancellation received within 2 hours from initial order placement will be refunded in full. All other cancellations will incur a nominal $5.00 cancellation fee or a 10% restocking fee, whichever is higher, to cover incurred financial charges of processing and handling. Please contact us should you wish to cancel your order.
SALES TAX EXEMPTION FOR OKLAHOMA RESIDENTS – Tax rate will vary as to your location. County, city, and state taxes apply to all non-exempt sales in Oklahoma.
Fragrance Laboratory is required to collect Oklahoma Sales Tax (County, City and State) unless you have supplied us with an OKLAHOMA Sales & Tax Use Certificate. A photo copy of your current Oklahoma Business License will need to be sent to us prior to placing any order should you wish to be exempt from taxes for the purpose of resale.
Fragrance Laboratory will not retroactively reimburse for previous orders prior to the Certificate of Exemption being filed with our business office. OKLAHOMA Sales & Tax Use Certificate must be updated and remain current for exemption qualification. It is the customer’s responsibility to provide Fragrance Laboratory with annual and/or current exemption certificates.
Exemption of sales taxes in Oklahoma is also offered to active duty and retired military personnel. This exemption does not apply to family members. Persons wishing to receive tax exempt status based on this rule must supply Fragrance Laboratory with a copy of their valid military identification card. Fragrance Laboratory will not retroactively reimburse for previous orders prior to the Military identification card being filed with our business office.

COUPONS & GIFT CERTIFICATES
Due to rising transaction fees, Fragrance Laboratory Coupons and Gift Certificates can only be honored when they are redeemed through our shopping cart by the customer at the time order is placed, unless otherwise noted.
All orders will have a sample fragrance oil included with your paid order. We may also include samples of product promotion items. Please do not request free samples when placing your order. Requests for additional free samples will be disregarded. If you wish to purchase additional samples of fragrance oils or essential oils you may do so by adding them to your cart at the time of purchase for a nominal fee.

Our fragrance oils, essential oils, aroma compounds, raw ingredients, and most other items offered, are for external use ONLY and should be used in conjunction with proper safety and manufacturing purposes. Fragrance oils and other raw ingredients should be kept out of the reach of children. Fragrance oils, essential oils, and aroma compounds are for topical use and should always be used in conjunction with product formulation. Do not apply directly to the skin or ingest any fragrance products. It is the customer's responsibility to use proper care when using our products. Some fragrance oils or manufacturing ingredients in their concentrated form can be an irritant to the skin, eyes, or mucous membranes. Please use common sense and take proper laboratory precautions when handling any raw materials used in bath, beauty, and cosmetic formulations. Safety First!
Fragrance Laboratory reminds formulators and crafters that proper and thorough testing is vital before beginning the sale or distribution of any handmade products. Our formulary is provided to our customers as a service and starting point on making products. The customer accepts full responsibility when choosing to use these formulas in part or whole. Fragrance Laboratory makes no claims as to efficiency, stability or safety of these formulas.
